What organizers should prepare before a conference, product launch, or meetup so coverage stays sharp and useful.

Share a run-of-show, speaker list, brand colors, and must-have shots at least a few days ahead. Last-minute surprises are fine — silence is harder.

Identify stages with low light, demo stations that need detail shots, and networking blocks where candids matter more than perfection.

Decide delivery needs early: same-day selects for social, or a full gallery within a set turnaround. That changes how we shoot and edit.

If badges, NDAs, or press areas are involved, put that in writing before the event so access is clear on site.
